Overview

Under the direction of Project Managers, the Project Coordinator is responsible for assisting, organizing, and tracking project activities to ensure projects are completed on time and within budget. The Project Coordinator is an integral member of the project management team to coordinate resources, equipment, and information. This position functions as a liaison between Project Managers, contractors, vendors, and other stakeholders.

Responsibilities

  • Partner with manufacturers and their representatives to order parts and resolve discrepancies such as missing or incorrect orders ship dates, deliveries, unshipped freight, and returned equipment.
  • Manage logistics for the shipping and delivery of equipment for inbound, outbound, and offsite; Obtain consolidation quotes and negotiate freight claims when required.
  • Lead contractual documentation such as preparing sales agreements, request COI’s, P&P bonds, and OCIP/CCIP paperwork.
  • Coordinate and schedule necessary resources such as cranes, forklifts, additional trucking, and temporary labor.
  • Schedule startups and demonstrations for live equipment training.
  • Review change orders and obtain management approval.
  • Partner with the Estimating and the Corporate Contracts departments to receive contract updates and obtain the necessary approvals.
  • Coordinate and arrange travel for Sub-crews.

No Lead or Supervisory Responsibilities

Ideal Candidate Will Possess the Following Skills and Abilities

 Bachelor’s degree from an accredited college or university; Education may be substituted with four (4) years of related experience.

 

  • Must be proficient in Microsoft Word and Microsoft Excel.
  • Demonstrated ability to work in a collaborative team environment;
  • Must be able to work independently while handling multiple priorities and responsibilities;
  • Must have strong problem-solving, time management, organization, and customer service skills;
  • Strong verbal and written communication skills are required;

Others: Must be able to successfully pass a background and motor vehicle record check.

 

 

While performing the duties of this job, the employee is frequently required to sit, stand, and walk; talk or hear, both in person and by telephone; use hands repetitively to handle or feel office or mechanical tools/equipment. It also requires occasional bending, stooping, kneeling, squatting, and crawling. May occasionally lift up to 25 lbs.

 

Office hours are in person from 8:00 am – 5:00 pm, Monday – Friday. May require occasional evening or weekend hours as business needs demand.

 

This position may require occasional travel to attend training and/or conferences.
