Singer is seeking candidates for our Project Coordinator position to join our Contracts team.



  • Once you are assigned a project, it is your responsibility to prepare the submittal package to the GC in a timely manner.
  • This submittal package includes: cut sheet book, custom shop drawings, electrical and plumbing rough-in drawings, project questionnaire.
  • Review the submittal packages and shop drawings for accuracy before sending.
  • When submittals are returned, verify their status:
    1. Approved or Approved as Noted (AAN) – ready for PO’s
    2. If rejected or Revise and Resubmit (R&R), you will correct the submittals and prepare them for resubmittal until they are approved. This step should take no longer than two weeks as we are on a time limit.
    3. Use the “submittal check-off list” to assist you and confirm you have followed all protocols and steps in the process

Rough-ins & T&L Fab Drawings

  • Learn Auto-CAD and how to prepare rough-in drawings and fab drawings for your assigned projects
  • Perform rough-in drawing revisions for your assigned projects
  • Perform T&L fab drawing revisions for your assigned projects
  • Perform trim, curb, misc. fab drawings as needed for your assigned projects

Change Orders

  • Prepare change orders as needed for each project
  • Review returned submittal packages for any necessary change orders and prepare and send those CO’s to the customer.
  • Keep and maintain the change order folders for accuracy, organization, and confirm accounting bills out change orders
  • Confirm the equipment orders are ordered correctly via the change order additions or deletions
  • Do not move forward with ordering equipment via CO until customer provides you an executed CO or LOI to accompany the CO folder.



  • Prepare and send PO’s out for your assigned projects as needed
  • Review approved submittal package mark-ups to confirm those mark-ups are included on the Purchase Order before sending to the factory reps. Perform a “scrub” of the AQ project file for accuracy before importing into TRX.
  • Have the sales rep or DSR perform a pricing “scrub” before importing into TRX
  • Use the PO check off list before sending PO’s and save in Project Documents folder
  • Before sending PO’s, ensure the quantities are correct, price is correct, model numbers and accessories are correct, hinging is correct, ship to address is correct, and you are sending the PO to the correct manufacture. Please copy CJ when you send the PO’s out so she can create a PSR for the project, and ensure we receive the order acknowledgement back from the manufacture.
  • Coordinate any equipment requiring field dimensions with the PM in order to get the equipment released in time for the installation.
  • All hoods, walk–in cooler/ freezer, serving lines , dish room conveyors , flight dish machines , large pizza ovens , and fabrication needs to ship directly to the jobsite for installation. All other equipment needs to be shipped to our warehouse at least one month prior to the installation date. Do not release the equipment until the PM has confirmed site readiness, field dimensions, or obtained hold to dimensions.


Ideal Candidate Will Possess the Following Skills and Abilities

  • High School Diploma or equivalent.
  • 2-3 years of related experience
  • Proficient user of Microsoft Word, Excel and Outlook required.
  • Customer first attitude; going above and beyond to satisfy each customer.
  • Must have excellent basic math skills and strong written and verbal communication skills.
  • Excellent customer service skills and the ability to establish a rapport with customers
  • Ability to work independently with minimal supervision and as part of a team.


This position is frequently required to sit, hear, use close and peripheral vision as well as depth perception. It also requires occasional standing, walking, bending, stooping, kneeling, and squatting. May occasionally lift up to 25 lbs.
