The Administrative Coordinator is responsible for data entry and tracking and delivery of orders after purchase orders are issued.  The Administrative Coordinator must be self-motivated with high energy and the ability to interact with numerous individuals, in multiple functions, in a dynamic and changing environment.



Responsibilities include:

  • Enter order confirmation in tracking system
  • Verify confirmations from vendors against Purchase Orders to confirm accuracy
  • Track shipments
  • Distribute receiving reports to Project Managers weekly until all items have been received
  • Review Packing lists versus purchase orders
  • Obtain quotes for 3rd party shippers using Old Dominion and STG 
  • Assist Project Coordinator as needed

  • Proficiency using Microsoft Word, Excel, and Outlook.

  • Ability to multi-task and work in a fast-paced environment

  • Possess strong written and verbal communication skills, including ability to articulate recommendations in a concise and timely manner
  • Highly driven and self-motivated; ability to work independently with minimal supervision and as part of a team
  • Foster positive relations and communications with co-workers
  • Strong relationship building skills with customers, general contractors, architects, manufacturers and vendors, and other trades on job sites
  • Possess integrity and ethical character
  • Ability to think creatively, critically and solve problems

Physical Demands

Work requires sitting for extended periods of time while operating a computer, standing, walking and moving throughout the office and telework environment; requires driving and valid driver’s license; talking; seeing (specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus); hearing; feeling; bending or stooping; squatting or crouching; reaching; kneeling; pushing; pulling; lifting up to 25 lbs.
