Overview

We are seeking a detail-oriented and experienced Contract Administrator to join our team. In this role, you will be responsible for reviewing, analyzing, and managing contract documents related to subcontracted work. The ideal candidate will ensure that contractual obligations are clearly understood, risks are identified, and compliance is maintained throughout the project lifecycle.

Responsibilities

  • Review and interpret incoming contract documents, including subcontracts, scopes of work, terms and conditions, and related legal documents.
  • Collect and track required subcontractor documentation, including insurance certificates, bonds, certified payroll reports, lien waivers, and other compliance-related forms to ensure timely and accurate submission.
  • Assist with annual subcontractor prequalification updates, including gathering and reviewing updated financials, safety records, and other relevant documentation for internal review and approval.
  • Identify, assess, and communicate contract risks and obligations to project teams and senior management.
  • Ensure all contract documents comply with company policies and applicable laws and regulations.
  • Coordinate with internal departments (e.g., project management, estimating, legal, accounting) to ensure all contract requirements are clearly understood and achievable.
  • Assist in the preparation and negotiation of contract amendments, change orders, and other contract modifications.
  • Track contract deliverables, milestones, and deadlines to ensure timely execution and performance.
  • Maintain a centralized and organized contract filing and documentation system.
  • Support the resolution of disputes or claims related to subcontracted work.
  • Verify that insurance certificates and endorsements meet contract requirements, including coverage types, limits, and duration, and coordinate with vendors to obtain or update documentation as needed.

Ideal Candidate Will Possess the Following Skills and Abilities

Qualifications:

  • Bachelor’s degree in Business Administration, Construction Management, Law, or related field preferred.
  • 3+ years of experience in contract administration, preferably within a subcontracting or construction environment.
  • Strong knowledge of contract law, risk management principles, and construction industry practices.
  • Excellent reading comprehension and attention to detail.
  • Proficient in Microsoft Office Suite and document management systems.
  • Strong interpersonal and communication skills, both written and verbal.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.

 

Preferred Qualifications:

  • Familiarity with AIA contract documents, lien waivers, insurance requirements, and bonding.
  • Experience with ERP or project management software (e.g., Procore, Viewpoint a plus).
