Project Coordinator - Estimator

Work as a support member of a Contract Sales team focusing on "after the sale," support including Database Administration, Logistics, and setting up service calls for customers.

1. Partner with and work alongside Project Managers for successful execution of jobs.

1. Submit paperwork for new job set up and handoff to purchasing.
2. Ensure job tasks are completed throughout the life of the project.
3. Make sure all documents and data and appropriately entered and uploaded.
4. Enter and track financials throughout the project.

1. Tracking
1. Ensure project is on target to hit dates by tracking all equipment to intended destination.
2. Tracking and Coordinating/Communicating Direct Ships to whoever is receiving it, meaning Customer, GC, Installer, Service Company, etc.
2. Manage Cutbook Updates as changes occur on jobs.
3. Pick Tickets- Responsible for distributing documents to appropriate team members for what items the warehouse personnel needs to prepare for shipment.
4. Arrange, coordinate, and schedule deliveries for all jobs and single shipments. Work closely with warehouse personnel to verify skid counts, weight, and truck scheduling.
1. Obtain multiple quotes to ensure the best price for shipment.
2. Handle any damaged freight claims for items.
3. Assist with getting canceled items returned to the factory.
5. Assist with coordinating installers for dates on site.
6. Prepare all close out documents for jobs nearing completion.
1. Distribute all equipment manuals.
2. Prepare warranty information and serial #’s for all equipment supplied.
3. Schedule all startups and demonstrations for equipment.
7. Assist Customers with service issues during job Turnover and throughout the warranty period of equipment.

1. Attend Team meetings in person when asked (Office Location, Melville, NY).
2. Ability to multi-task and work in a fast-paced environment.
3. Proficient in Microsoft programs.
4. Ability to work independently with minimal supervision and as part of a team.
5. Strong communication skills, both oral and written.
6. Strong relationship building skills with customers, manufacturers, co-workers, and vendors.
7. Exceptional organizational skills and strong attention to detail
8. Excellent customer service attitude.
9. Critical thinking and problem solving.

This position is frequently required to sit, hear, use close and peripheral vision as well as depth perception. It also requires occasional standing, walking, bending, stooping, kneeling, and squatting. May occasionally lift up to 25 lbs.

Standard hours are Monday – Friday from 8:30 am – 5 pm. May require evening and weekend hours as business needs demand. Will travel up to 10%. This is a hybrid work position that may require office hours in the future.
