Overview

The Equipment Specialist is responsible for delivering exceptional customer service and driving sales by meeting the requirements of our customers.  The position requires handling of various tasks such as assisting street sales, quoting buy-out and custom equipment to customers, procuring equipment for projects and inventory, monitoring status of orders, coordinating delivery and installation, ensuring timely invoicing and payment collection.  The Equipment Specialist works closely with the Executive Director, Sales and internal departments to facilitate growth and retention of customers. The position requires prompt, clear communications with internal team members, clients, consultants, architects, and engineers regarding foodservice equipment and specifications. The Equipment Specialist must be self-motivated with high energy, and the ability to interact with numerous individuals, in multiple functions, within a dynamic and changing environment. 

 

Responsibilities

Core Responsibilities

  • Deliver results aligned with division objectives and strategic initiatives.
  • Specify and sell preferred foodservice equipment brands.
  • Support all aspects of “onesie” equipment sales, including quoting, specifying, order entry, and coordination of delivery and installation.
  • Accurately prepare customer quotations and proposals using company systems and AutoQuotes.

Project & Order Management

  • Enter and manage orders accurately using established systems.
  • Maintain and enforce change order processes, ensuring documentation and communication of all scope changes.
  • Follow protocols for subcontractor and vendor use, including quote collection and subcontracting services as needed.
  • Ensure timely processing of shipping, invoicing, and job closeout documentation.
  • Register projects and apply for vendor specification credits as applicable.

Vendor & Logistics Coordination

  • Coordinate with vendors regarding pricing, lead times, equipment availability, and delivery logistics.
  • Manage installation coordination, including delivery notes, warehouse confirmations, replacement of damaged items, and scheduling of start-ups and end-user training.

Customer & Team Communication

  • Maintain professional communication with customers, vendors, internal team members, and stakeholders regarding delays, changes, and project updates.
  • Organize and manage lead requests to ensure responsive customer communication.
  • Provide exceptional customer service and support customer retention through best practices and tailored “playbooks.”

Documentation & Recordkeeping

  • Maintain comprehensive project records, including owner’s manuals, warranty information, service contacts, and project-specific notes.
  • Document scope changes, lessons learned, and customer-specific nuances to improve future project execution.

Cross-Functional Collaboration

  • Work interdepartmentally to align resources, tailor solutions, and coordinate project execution.
  • Attend meetings, product demos, trainings, trade shows, and manufacturer events to stay informed and up to date.
  • Support forecasting and reporting by collecting and providing project data as needed.

General

  • Perform additional duties as assigned in response to evolving business needs.

 

Ideal Candidate Will Possess the Following Skills and Abilities

Education: High School Diploma or equivalent required, Associate’s Degree in Business or related field or equivalent desired. 

 

Experience: Minimum of 2 years of project management and leadership experience. Construction or foodservice equipment experience is desired.   

 

Competencies:  

 

  • 2-3 years’ experience in foodservice equipment and AutoQuotes
  • Ability to utilize computer-based programs necessary to complete assigned tasks, including but not limited to Microsoft Word, Excel
  • Effective interpersonal skills to successfully work with others in the organization.
  • Attention to detail; highest standards of accuracy and precision; highly organized.
  • Exceptional work ethic with a focus on achieving goals and targets in a timely and complete manner.
  • Highly driven and self-motivated; ability to work independently with minimal supervision and as part of a team.
  • Basic knowledge of general construction, mechanical, electrical, and plumbing 
  • Ability to read and understand manufacturers cut sheets, drawings and construction drawings and communicate layout and design requirements to others; understanding of utility connections required to ensure manufacturer specifications are met.
  • Strong relationship building skills with customers, architects, and engineers, etc. as required.
  • Ability to work in a fast-paced environment
  • Possess strong written and verbal communication skills, including ability to articulate recommendations in a concise and timely manner.
  • Possess integrity and ethical character.
  • Ability to think creatively, critically and solve problems.
  • Excellent customer service attitude

 

PHYSICAL DEMANDS

Work requires sitting for extended periods of time while operating a computer, standing, walking and moving throughout the office and telework environment; requires driving and valid driver’s license; talking; seeing (specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus); hearing; feeling; bending or stooping; squatting or crouching; reaching; kneeling; pushing; pulling; lifting.

WORKING CONDITIONS

Typically works in an office environment, telework and construction job sites.  The core hours of this position are 8:30 am – 5:00 pm. However, early morning hours, some evening hours and weekend hours may be required to meet business demands. Job may require work to be performed on active construction sites where employee may be exposed to dust, dirt, loud noise, odors and other hazards commonly found on construction sites.

TRAVEL

Position requires local and out-of-town travel in accordance with business needs, which at times may be frequent.

 

Salary:  $70K+ (depending on experience)
